How to Write and Submit a Conference paper

Before entering into the mainstream of the topic one should know what actually is meant by the term conference paper.

A conference paper is often a written document which is accompanied by an oral representation. It’s a way/process of bringing out new ideas and presenting it in front of individuals and in return gaining valuable feedback from them thereby, establishing a professional stature in his/her field of work.

The first and foremost important thing one should keep in mind while preparing a conference paper is that “the topic” which he/she will be representing. The topic of the conference paper should be as such so that it would create an interest in the audience.  Secondly, what actually the abstract and the presentations look like should be well known to the orator, for such information he/she may refer to the previous conference proceedings. The addition of a co-author will be of great help for an individual.

An individual must read carefully and thoroughly the requirements required in a particular conference paper, i.e., (font sizes, format, word limit etc.).  The topic and the context, including the problems and solutions, pros and cons, etc. should be to the point. Highlighting the important/interesting part of an individual topic is of greater significance. Usage of professional literature and an experienced tone in the paper is to be done to attract the audiences’ attention. The title of the topic should be attractive and descriptive because an interesting title will always pull the audiences’ attention and will make them enthusiastic about the subject matter of the topic. The conference paper should include: introduction, background, main body, future work, conclusion, acknowledgement and references. Usage of picture, chart, tables, examples, data and results in the paper is important. Follow the requirements for formats and lengths etc. It’s better to start early and have a colleague or mentor to review the paper, review of the paper reflects the personal views of the reviewer, a good review and revised paper helps an individual to improve and culminate  his/her communication skills.

Submission of the revised and reviewed paper should be done as early as possible, by doing this an individual not only win brownie points with the organizer, but get a better chance of getting a favorable time slot on the conference program in addition to that he/she gets a maximize chances of getting mentioned in the conference program that enlists the speakers, however, failing to do this often leads to late additions and that won’t enhance his/her reputation. An individual can submit a paper on different aspects of his/her project to different conferences, but not the same paper to more than one conference. One should know the acceptance rate of the papers – the aim should neither be too high nor too low. An individual should know whether a poster or a paper should be the best fit. An individual may submit a poster or a paper but they should not be on the same topic. All papers and abstracts  must be written in English and submitted electronically in PDF( A4 or letter for the initial submission and only letter format for final submission) format and one must ensure that his/her e-mail and contact details is clearly available, and correctly spelt to avoid inconvenience.

How conference organizers can create better attendee experiences

While organizing a conference, organizers often face with a dilemma about how to create better attendee experiences. This leads to exploration of different ways like offering free lunches, creating space for workshops at the end of meetings, etc. However, to increase attendee experience, a general series of steps should be followed:

Better Communication: Organizers really need to communicate with potential attendees for getting the maximum of attendee experience. Attendees should know every detail about the conference including transport facilities, logistics, etc, and should be provided with all forms of communication measures to contact organizers. In an era of digital connectivity, only employing conventional methods like emails and phone calls is not enough. Smartphone based app, which provide real time data regarding all aspects should be developed too.

Preparing a Theme: Like any good presentation, a proper theme should be put in place, such that it puts up a display of probable subjects the conference will be about. A theme helps in unifying ideas, sell and market to right people, and get appropriate speakers. Besides putting up a theme, a proper name (something punchy yet simple), helps to attract target audience.

Choose Speakers: There might be tons of good speakers available who would go on for hours about relevant topics, but the best ones put in phrases which tend to attract audience, and put them on their feet. However, Good speakers are also the hardest to find, as they are generally booked earlier than others.

Decide on Partners: Running and organizing a conference single handed can be a nightmare for organizers. This apparent reason almost always creates partnerships between two or even three organizations for hosting and successfully running a conference with maximum possible attendees.

Proper Venue: However lucrative the subject of conference meeting may be, venue plays a big role in determining the number of attendees. If transportation facilities to the venue from urban centers or the venue itself are not up to the mark, a very small group of audience will make it for the conference.

Affordability of Good Speakers: Hiring of good speakers for any conference also requires a tremendous financial support, which would include the speakers’ travel, meal and residing costs besides the time for which they are supposed to deliver lectures. In absence of financial backing, the audience should not be however, charged for funding these expenses.

Plan a Budget Ahead: If as an organizing committee, expenses seem to frequently go out of hand, try to zip it up within the agreed budget, and dodge extra expenses for good. Otherwise, the conference itself will tumble into shreds.

Providing Guests and Attendees with Lunch: It is an option often explored by organizers; this measure tends to keep audience in their seats for the whole time, and saves them from the pain of having to hunt for a perfect location to have meals. Though it expands the expenses, it is an effective way to increase alignments with attendees.

Using Contacts as Bargaining Chips: Organizing members have lots of contacts which can be used as bargaining chips to bring out maximum attendees as possible. These contacts via popular social networking platforms further boost connectivity and information sharing regarding details of conference meetings.

Using Help from Technical Team: A team experienced in organizing conferences should be hired, as they can make necessary arrangements, and take swift measures in case of any situations, which the organizing committee may fail to oversee.

Receive Feedbacks: All said and done, gathering feedbacks with niceness is an awesome strategy for determining the quality of services, and also ensures the presence of attendees in bigger volumes in further conference meetings.

A statement which will help you to attract the audience of interest.

2.       Partnership
A conference is a big deal which involves tiring work. It is difficult to handle it all alone, find someone who can get things done on your behalf. You can get good ideas from the other person which will help you in adding more value to the conference than by doing all by yourself which would indeed stress you more than anything.

3.       Focus on the speakers
Hand-pick your speakers before hand, do enough homework and check their interests well in advance. This would help in getting right audience too. Ask them to bring in their friends who will also be interested on the topic which would add support as well.

4.       Budget planning
This is an important part of any conference. Any type will require a basic budget, which includes at what time the conference will be held and what you can offer to the participants, speakers, etc.. There are speakers who would ask for upfront fees for the conference, so before starting anything budget comes into picture. One can also look for sponsors if the conference is big.

5.       Vendors
Talk to the vendors who would help with arranging the conference hall, food, water bottles, arranging the decorations, speakers, etc.. Any conference that is properly arranged is half successful even before the start indeed. This also ensures proper hospitality to those who drop by gives credibility.

6. Proper agenda
Talk to your speakers beforehand. Analyse how good they are and get into details of what each speaker can talk about. Prepare an agenda that would be interesting to the participants. This helps them understand what they can get from the conference and make the most of it

7. Marketing
Marketing is the most vital part of any conference. If you have sponsors, they would help with marketing and vice versa. Ensure to spread a word around which will help enough in bringing in participants. Ensure to use social media marketing, campaigns, etc.. to spread the word.

Alternatively, one best option to market is to register the conference details at AllConferenceAlert.com, which gets visited by people across the world to pick the conference that is of interest to them. For a successful conference, all the above points are necessary. Ensure to follow these steps and get to succeed in your conference.
